Youmie Labs: Hospitaling

Youmie is in full development. In so-called 'Youmie Labs', we work out ideas concerning a specific topic. This time, we delved into a module for hospice for first-year members. Every year, associations have a large influx of first-year members, who are looking for a place in one of the houses. With the hospice module, managing all the houses and freshmen becomes a breeze!

Hospitality in brief

Managing hospiteren for freshmen can be quite a challenge for the board. Together with associations, we came up with a module that supports this and even creates new possibilities.

In short, it works like this: within 'Hospice Basis', the board can appoint one or more coordinators per house, who can set up the information of his/her house. These house coordinators then complete their house profile via the app, create events and choose their favourites from the list of freshmen. Freshmen can browse through all houses and add houses to their favourites. They also see an overview of all the events they can participate in.

Furthermore, you can also go for 'Hospiteren Premium'! Then freshmen can also register for events through the app and check in through QR codes once they arrive at the event. Houses can then approve or reject these applications (freshmen will receive push notifications) and save their favourite freshmen. If desired, the board can keep an eye on everything from the app manager or export reports afterwards, but don't have to do anything themselves!

Housing for freshmen


As a freshman, it can be overwhelming to get an overview of and distinguish between all the different houses. And for the board, it is often a lot of work to inform and link all freshmen to the houses. Through the hospiteren basis module, freshmen can see in a simple house overview which houses exist at all, and which events are organised by which houses. They can view more information about the different houses and save their favourite houses. And they themselves can add some more information about themselves in their profile.

Hosting for houses


For houses, reaching out to first-timers and letting them know about events can be especially difficult. With the hospiteren basis module, it is very simple for the house coordinator to put his or her house on the map by adding information about the house to the house profile. Furthermore, they see an overview of the freshmen, in which they can search and save their favourite freshmen. The house coordinator can also create events.

Hospice registration at events

With the hospiteren premium module comes the possibility for freshmen to subscribe to events created by the houses. The profile will then have a handy overview of all events for which the freshmen have applied. The houses can then approve or reject this application, of which the freshman will then receive a notification and can find this in the updated event overview. Applications that have not yet been processed can also be cancelled again.

Hospiteering check-in at events

Besides registration, the hospiteren premium module will also include the option for freshmen to check in at the events they have been approved for. This way, as a board, you can be sure that the freshmen have actually turned up, the hosting is fair and the houses are sure that they are letting in the right people. Once the event has started, the event information will make the QR code scanner available to freshmen and the QR code generator at houses. The freshman then scans the QR code of the house and is registered as attending.
